A talent acquisition platform seeking a compelling UX approach and immersive experience.
BMW STEP is amongst the most extensive technician training schemes across North America. They are recognized for their practical methodology and thorough enhancement of technical skills. Yet, their official website seemed antiquated and overloaded with content, lacking a narrative to support its value proposition. As a result, the site faced increased bounce rates, diminished traffic, and reduced page duration.
TL;DR
Redesigned Volkswagen's dealer-to-OEM reimbursement workflow into a lifecycle-first governance platform (PoC), to improve claim turnaround, cross-role visibility, and compliance oversight, based on a scope Volkswagen defined directly through their own RFP.
PROBLEM
Former system was too linear and limited for the operation complexity
Turnaround was inconsistent. A routine claim could clear in a day, or stall two weeks, with no way to predict which. Visibility didn't cross roles: dealers submitting a claim and Volkswagen's team reviewing it worked from disconnected tools, so neither side could see where a claim actually stood. Compliance oversight leaned on manual review cycles that covered only a fraction of what the product needed to track. None of these were separate bugs. Fix turnaround without fixing visibility, and claims just move faster toward the same blind spot.
SOLUTION
Lifecycle became the shared unit
The system was rebuilt around the claim's full lifecycle, not each step as its own tool. AI now flags likely compliance violations before a dealer even submits, during pre-approval, catching issues upstream instead of waiting for a reviewer to reject them downstream. That alone cuts a full reject-revise-resubmit loop out of the lifecycle. Turnaround improved: dealers and reviewers move through the same pipeline. Rebuilt an image tool capped at 80% inventory coverage into a system that generates unlimited GenAI asset combinations, reaching 100% coverage and cutting setup time from 5 minutes to nearly 1 minute.

A config is a saved AI image template: background, angle and lighting, that can be applied and integrated to any VIN (vehicle). The mandate was to go from one config for the entire inventory to unlimited config-to-VIN combinations, without forcing a new mental model onto existing users. Speed had to scale with coverage: the old flow took about 5 minutes per set, the new one takes one minute.

Both roles share the same interaction language, but visibility and controls adapt to responsibility boundaries.
Instead of extending the single-config model, we re-architected the system to support:
Multiple configurations per VIN
Scoped rule-based application
Permission-based overrides
Visualized impact before deployment
This shifted the platform from static assignment to dynamic logic orchestration. The design challenge became one of containment — shaping complexity instead of hiding it.

Lifecycle first
When the structure of a system mirrors how work actually happens, friction drops naturally. In this project, aligning the interface to the real reimbursement flow created more clarity than adding features ever could. Architecture shaped behavior more than UI refinements.
Automation needs a boundary
AI accelerated obvious work — detecting violations, drafting structured feedback — but never crossed into decision authority. The value was not in replacing judgment, but in protecting it from repetitive tasks.

Dealerships and OEM reviewers operate at different levels of visibility, but they rely on the same concepts. Designing one coherent semantic system reduced interpretation gaps and improved how both sides understood status, compliance, and accountability.

Dashboards that only show the past rarely change behavior. Introducing forward visibility shifted the product from operational tracking to financial planning. The perception of value moved from control to enablement.
